Booking terms and conditions

Please read these terms and conditions carefully as these terms and conditions incorporate the basis on which bookings for Living Suites ApS are accepted. The person making the reservation will be deemed to have accepted these terms and conditions on behalf of all persons who will be staying at Living Suites under the reservation (once the reservation is accepted and confirmed by Living Suites).

1. Definitions

“The Hotel”, “we”, “us” and “our” means Living Suites ApS
“The Website” means www.livingsuites.dk
“Booking” means the booking for accommodation and/or any other services or items made with us
“Contract” means the Booking and these terms and conditions.

2. Booking

On completion of the booking process a confirmation will be sent by e-mail. This is also your receipt. Your Booking is only valid upon our receipt of payment. As such, it is your responsibility to ensure that the credit card is valid and has sufficient funds to cover the Booking.

By making a Booking, you give permission for the Hotel to contact you by email and telephone for any Booking related matters. To ensure booking confirmations are received, we recommend adding our URL to your safe senders list.

3. Hotel Pricing

Prices indicated on the Website, including those available on third-party booking websites, for hotel rooms are subject to availability and also subject to change at any time without notice.

Rates are based on one person per suite. An additional fee applies for extra persons as informed during the process of making the booking.

4. Rate Policies

The Hotel and Website in general offers one rate option.

From time to time, special rate types may be available on the Website for the Hotel. Such rates may offer unique policies, inclusions and / or minimum stay rules, and any such policies will override those listed in section 6.

5. Payment

The payment terms relating to your specific Booking will be advised at the point the Booking is made and will be dependent upon the terms set out on the channel you choose to book. In general we charge your payment card 7 days prior to arrival.

When a Booking is made with the Hotel via the Website or over the phone to a member of our team, you will be required to inform us of the valid payment card details you intend to use to pay for your accommodation fees.

For all Bookings (unless otherwise agreed), the Hotel will use a recurring card payment through its secure payment gateway to process your payments to us, and you agree that we can do this, including deductions for any additional services you may choose to purchase and any charges resulting from damage to the suite or our property, whether agreed with you or not.

For Bookings that are greater than 29 nights in length, the Hotel will charge these payments on a monthly basis. The Hotel will deduct the payment around 7 days prior to the upcoming billing period.

Where any installment or payment is due and is paid more than 48 hours late the right to occupy will be terminated with immediate effect.

All payments will be quoted and processed in DKK (Danish Kroner). Any price quoted by us in a currency other than DKK is an estimate based on a conversion of the price in DKK to the other currency. The exact price you pay will then depend on the exchange rate applied by your bank or card issuer and is not the responsibility of the Hotel.

In the event you are entitled to a refund it will be applied in DKK. The Hotel accepts no liability for any fluctuations in exchange rates that may occur between the original payment date and the refund date.

6. Cancellations and amendments

Bookings of 29 nights or less

The booking can be cancelled without any fee up until noon on the day before the confirmed arrival date. For cancellations hereafter, a cancellation fee of 50% of the confirmed accommodation period will be charged. The cancellation fee cannot be less than the full rate of 1 night or more than the full rate of 7 nights.

Shortenings of a booking after arrival must be advised 2 days before the new departure date. For later notice, a cancellation fee of 50% of the confirmed accommodation period will be charged. The cancellation fee cannot be less than the full rate of 1 night or more than the full rate of 7 nights.

Bookings of 30 nights or more

The booking can be cancelled without any fee up until 14 days before the confirmed arrival date. For cancellations hereafter, a cancellation fee of 7 nights will be charged.

Shortenings of a booking after arrival must be advised 2 days before the new departure date. For later notice, a cancellation fee of 50% of the confirmed accommodation period will be charged. The cancellation fee cannot be less than the full rate of 1 night or more than the full rate of 7 nights. However, the full rate of the first month of the booking cannot be refunded after arrival.

Miscellaneous

For group bookings (i.e. more than 5 hotel apartments) special conditions apply, including cancellation policies. Please contact the Hotel with the specific enquiry.

All cancellations and shortenings of bookings must be done in writing.

Change of check-in and check-out dates without shortening the length of stay initially booked can be made latest 7 days before arrival at the discretion of the Hotel and only if our availability can accommodate the requested change.

Please note that a different cancellation policy may apply for corporate agreements, special offers and bookings made through intermediaries.

7. Non-arrival to the hotel (no show)

If you fail to arrive at the Hotel on the arrival date the entire reservation will be cancelled automatically by the Hotel and you will be charged the cost of the whole reservation.

If you fail to check in on the first date but still continue your travel plan to stay at the Hotel, please urgently contact us so that we can keep the room for you for the rest of the nights. Otherwise as mentioned above, the entire reservation will be auto-cancelled and no refund will be issued.

8. Extension of stay

Where a guest wishes to extend the period of stay in the suite, a written notice should be given to the Hotel as soon as possible to facilitate the request.

The Hotel cannot guarantee any extension, which is subject to availability and rate change. Failure to give us notice in writing of an intention to extend a stay may result in the suite being booked by another guest.

Where notice of intention to extend your stay has been given, we reserve the right to take all additional payments and charges from any credit/debit card used to make the original booking.

9. Changes or cancellations by the hotel

On rare occasions the Hotel may need to cancel your Booking. In such circumstances you will be given a full refund but the Hotel shall have no further liability to you arising out of such cancellation. The Hotel will, however, use reasonable endeavours to try and re-locate any confirmed Booking cancelled by the Hotel to an alternative location similar in standard and price to the Hotel.

10. Booking validity

Booking confirmations are provided to you solely for your convenience. The Hotel retains records of all booking transactions including dates of stays and room rates. In the event of any discrepancy, alteration, modification or variation between your confirmation document and the Hotel’s official records, the Hotel’s records shall prevail.

11. Check-in and check-out

Hotel check-in time is from 2:00 pm. Early check-in cannot be guaranteed and is subject to availability and may be subject to additional fees.

Check-out time is 10:00 am. Late check-out can be arranged but is subject to availability and may be subject to additional fees.

Please note there is no 24-hour front desk at the Hotel. After office hours, the room keys shall therefore be collected upon arrival as per the instructions provided.

12. Room allocation

Your booking is for a room category in the Hotel and does not guarantee that you will be able to stay in a specific room or in the same room for the duration of your stay. Please note, that we always try to keep your stay as simply for you as possible.

13. Facilities and services

The price for the use of the suites include:

  • The supply of water and electricity
  • Wi-Fi internet
  • Weekly housekeeping service (cleaning, change of linen & towels, bed making, refill of basic toiletries, removal of rubbish)
  • Routine maintenance, e.g. light bulb changes

Please note that the weekly housekeeping service is planned at the Hotel’s discretion. As such, The Hotel can choose what day and time of the week the housekeeping service of your booked suite will take place. We always aim to plan the housekeeping service when it is most convenient for our guests.

The price for the use of suites does not include:

  • The provision of food and beverages
  • Laundry and dry cleaning charges (for personal clothes)
  • Car parking at the Hotel’s secure parking lot when booking with a third party
  • Any other supplements
14. Special requests

Once booked, any special request should be made to the Hotel by email or phone. The Hotel cannot guarantee that your request will be possible or honoured. We will endeavour to accommodate your request and ask you to provide reasonable notice, so we can assist with any special requests. You agree that any full or partial failure to fulfil a request, outside the Hotel’s or a suite’s normal inclusions, will not lead to a refund being owed.

15. Insurance

Guests are advised to ensure that their own insurance covers any loss or damage to personal property as well as the Hotels property and interior during their stay. Furthermore, guests are advised to ensure that adequate personal and travel insurance is taken out.

16. Parking

Car parking is available but it is limited, please contact us for availability and prices. Please note all vehicles are parked entirely at the guest’s own risk.

17. Guest behavior

Guests are requested to conduct themselves appropriately at all times and to comply with company procedures and/or requests with regard to conduct and respect for the property of the Hotel, its employees and guests and their health and safety. Guests are requested not to disrupt the comfort and enjoyment of other guests, the smooth running of the Hotel, or cause offence to other guests or our members of staff.

We reserve the right to refuse accommodation or services or remove you and members of your party from the Hotel if, in our reasonable opinion, we consider this provision to have been breached. Where this is the case we shall have no obligation to refund you for lost accommodation, other services or any other loss or expense incurred.

18. Use of kitchen

As much as we would like you to make the best of our fully equipped kitchens, we would like to inform that we do not accept heavy cooking that includes excessive use of oil and spicy ingredients such as curry and other spices causing strong odors. This will not only damage our interior but will also disturb other guests. Failure to comply with our cooking policy will result in a charge based on the costs of extra and/or special cleaning.

19. Pets and smoking

Pets

We like pets and have therefore allocated a certain number of suites for this purpose. These suites have direct access to our enclosed yard. Pets are not allowed in any other indoor areas except for these same dedicated suites and access with pets must therefore be made directly via our enclosed yard. This measure also enables us to accommodate other guests who do not wish contact with pets.

We ask guests not wishing to stay in suites where pets can be allowed, to make us specifically aware of this, latest at the time of booking.

We require pets at the hotel to be well behaved, housetrained, quiet and at no disturbance to our other guests.

Pets are not to be left unattended unless they are being kept in a crate, supplied by the guest.

The guest is responsible for immediate removal of possible pet remains on – and around the hotel property. We ask that remains are being disposed of in closed bags – in the outdoor black garbage containers.

Possible damage to hotel interior and extra cleaning will be charged to the guest.

Pets are only to be brought to the hotel upon prior separate agreement.

Pets will be charged to the guest at DKK 150 per night.

Smoking

Guests are not permitted to smoke in rooms, balconies or public areas. Failure to comply with our non-smoking policy will result in a DKK 1500 fee to cover setup of our odor treatment unit and 10 hours of odor treatment.

Cooking or other effects that leaves a strong odor in the room will result in a 1500 DKK fee to cover setup of our odor treatment unit and 10 hours of odor treatment.

20. Lost keys and lock outs

Lost keys will incur a replacement fee of DKK 250 per key. This fee also applies if you forget to hand the key back to the Hotel upon check-out.

Please note there is a DKK 500 charge for after-hours call-outs resulting from lost keys and lock-outs.

21. Children

All children are welcome.

A baby cot with linen can be ordered at an additional cost.

Persons under the age of 18 must be accompanied by a responsible adult.

22. Number of guests

The suite is only to be used by the maximum number of guests suitable as advertised by us. We reserve the right to refuse admittance to the suite if we feel this condition is likely to be breached. All guest names should be submitted at the time of booking. Any variation in the identity of the guests must be notified to us in writing in advance of arrival. All guests must have identification documents with them on arrival for checking.

The suite must not be slept in by any other persons unless permission has been obtained from the Hotel.

23. Visitors

Visitors’ entry to the hotel is restricted for security reasons. However, visitors may be permitted after obtaining permission from the Hotel upon confirming their identity.

24. Damage

The Hotel reserves the right and you hereby authorise The Hotel to charge your payment card for any damage incurred to your room or the Hotel during your stay (including specialist cleaning) or for any items that are missing when you leave.

25. Right of entry

Employees of the Hotel or nominated person shall be allowed access to the property at all reasonable times for purposes of housekeeping service, inspection or to carry out any necessary repairs or maintenance.

26. Complaints and comments

Any complaint or comment regarding your stay should be made to the Hotel’s manager. Please kindly note complaints are more easily resolved while you are still in the property.

27. Personal information

All personal information stored and used by us is done so in accordance with our Privacy & Cookies Policy, which is available on request or on www.livingsuites.dk/privacy-cookies-policy

28. Force majeure

The Hotel will not be liable for any change or cancellation of any booking or payment that is caused, in whole or in part, by events, occurrences, or causes beyond the control of the Hotel. Such events, occurrences, or causes include, without limitation, acts of God, terrorist activities, weather, strikes, lockouts, riots, flight delays, acts of war, and any earthquake, volcanic activity, ash clouds, fire and explosions, whether occurring near the Hotel or at any other location worldwide. We encourage you to secure a sufficient travel insurance policy prior to travelling.

29. Limitations

Neither the Hotel nor any other third-party suppliers related to the Hotel’s online booking and payments, are responsible for any communication malfunctions, failures, difficulties or lost, stolen, or misdirected transmissions, messages or entries, or the security of communications. Neither the Hotel nor any other suppliers are responsible for incorrect or inaccurate entry information, whether caused by user(s), by any of the equipment or programming, or by any technical or human error that may occur in the processing of any information. The Hotel shall not be liable for any such damages whatsoever resulting from any of the foregoing situations.

The Hotel may cancel, modify and report bookings to the relevant authorities, when it appears that a user has engaged in fraudulent, criminal or other inappropriate activity or under other circumstances where it appears that the bookings contain or resulted from a mistake or error. You are advised that the Hotel may have CCTV cameras and you understand that recorded footage may be shared with law enforcement agencies as required.

30. Governing law and jurisdiction

This Contract is subject to the laws of Denmark where the Hotel is located. All disputes, conflicts and claims arising from or in connection with this Contract shall be settled amicably by the Parties. Should the Parties fail to reach an amicable settlement, the matter shall be submitted to the competent court at the Hotel’s domicile.

31. Website Information

While all reasonable efforts have been taken to ensure the accuracy of information on the Website, the Hotel does not accept responsibility for errors or omissions and reserve the right to amend, cancel or vary any of the arrangements featured on the Website without notice. Please note that in certain circumstances, generic photographic images have been used to represent the general style of a particular product or hotel.

Any copyright and other intellectual property in the content and materials on the Website or at the Hotel remains with the Hotel. Downloading, copying or otherwise using any material from the Website is permitted solely for private use for the purpose of booking your stay with the Hotel.

Trade marks used on the Website are the property of the respective owners. Hyperlinks to third party websites are provided for your convenience. We cannot accept responsibility for the content or use of third party sites.

The Website is operated by the Hotel.
